Greatheartsaz.org:

The Great Hearts main website (http://greatheartsaz.org/) is a wealth of information on the GHA’s curriculum, locations, and much more. Important links, such as Interest Lists, Contact information for each school, and Curriculum outlines can be found on this site. We encourage you to take some time to explore what this website has to offer.

Online Application Log-in:

You can access the Online Application for the 2013-2014 school year at http://apply.ghaenrollmentaz.org. This link is also available from the ADMISSIONS page of the Great Hearts Academies main page: www.greatheartsaz.org

Confirmation Emails:

You can expect to receive an email confirmation within 30 minutes after you submit your child’s application to one of our schools. The confirmation email is an important piece of information for you to keep on file. It holds vital information such as your child’s name and birthdate, parental contact emails and grade and schools for which the child’s application was submitted. The confirmation mail also indicates the date the application was submitted. Please be sure to save the confirmation emails you receive from Great Hearts.

How to Apply Online:

New Application

The 2013 – 2014 Application will be available beginning at 10am on November 19th, 2012. You can access the Online Application for the 2013-2014 school year at http://apply.ghaenrollmentaz.org. This link is also available from the ADMISSIONS page of the Great Hearts Academies main page: www.greatheartsaz.org.

Existing Application

If you participated in an Entry-Level Application Event at Scottsdale Prep, Veritas Prep, North Phoenix Prep, Trivium Prep, or Chandler Prep your application ticket has been used to generate a Family Account with the ticket information. You will not need to create a new Family Account, even if you wish to apply to additional school or apply addition children. Please refer to the email that was sent to you by Great Hearts which contains your username and password.

If your child’s application was rolled over to the 2013-2014 school year from the 2012-2013 waitlist, you will have a new Family Account generated with your child’s application. You will not need to create a new Family Account, even if you wish to apply to additional school or apply addition children. Please refer to the email that was sent to you by Great Hearts which contains your username and password.

How Our Waitlist Works:

When your application reaches the top of the list and a spot becomes available to you, the school will call you immediately.

Sibling Priority Policy:

You may move up or down on the list. Don’t be too worried if you move down a few spots; this occasionally happens. For example, a 1st grade student is called from the waitlist because someone declined a spot. The 1st grader has a sibling who is #50 on the waitlist for 3rd grade. This sibling must (by law) be given “sibling preference,” so she moves up to the top of the 3rd grade waitlist (or near the top; there may be other siblings ahead of her). Therefore, if your 3rd grade child had started at #49, s/he will now be bumped down to #50.

Sibling priority only applies when the incoming applicant has a sibling that is officially enrolled, currently attending, or has graduated from, the same school to which the applicant is applying. Our Archway Academies and Preparatory Academies of the same location are not considered to be the same school.

Alumni Priority Policy:

Priority will be given to siblings of graduates of Great Hearts Academies . A “graduate” of a Great Hearts Academy is defined as a student who successfully completed the exit-level grade at an Archway or Preparatory Academy. For example, a child who successfully completes the 4th grade at Archway Scottsdale and a child who successfully completes the 12th grade at Veritas Preparatory Academy are both considered “graduates” of those schools.

Predicting Waitlist Outcomes:

It is not possible for us to determine your child’s chances of being offered a spot. Once our classes are full, any spots that open up are the result of student withdrawals. Although we do typically see a number of spots open up before the start of school, we have no way of knowing in which grades spots will open up or how many spots will become available.

Roll-Over Policy

If your child is not offered a spot for the 2013-14 school year, the school will contact you at some point after the school year starts to find out if you would like to roll the application over to the next school year. If you opt to do this, you will not have to reapply for the 2014-15 school year, and your application will move up the waitlist with other rollover applications and will be ahead of new, incoming applications submitted for the 2014-15 school year. It is crucial that you do not miss the Roll-Over deadlines set by the school to ensure your child’s application is moved to the next year’s wait list.

Please note that applications cannot roll over from one school to another. For example, waitlisted 5th grade applications for Archway Veritas cannot be rolled over to 6th grade at Veritas Prep. Furthermore, applications received after the first day of school are NOT eligible for rolling over into the next school year.

Direct any questions concerning “rolling over” your child’s application to the school’s main office.

Enrollment Protocol for Priority Status and Eligibility

The following types of applications are eligible for "Priority Status", and in the following order:

SIBLINGS: Applicants with currently enrolled siblings or alumni siblings
  1. A “sibling” is defined as an immediate family member, or a blended family member that resides under the same roof as the applicant.
  2. The sibling must be currently enrolled at a Great Hearts academy, or must have graduated from a Great Hearts academy.
  3. The applicant can only receive priority status for the school at which their sibling is currently enrolled or the school from which their sibling graduated.
  4. If sibling withdraws from the school before applicant is offered enrollment, priority status will be revoked.
  5. Once marked as a “sibling” application, these priority applications are ordered by original date of application.
  6. Priority status does not guarantee placement.
EMPLOYEES:Children of Full-time, benefits-eligible Great Hearts Lead Office and School Employees
  1. The employee must be the parent or legal guardian of applicant or the applicant must live with the employee for at least 50% of the calendar year.
  2. The eligible applicant will receive priority status at any school within the Great Hearts network.
  3. The employee is responsible for notifying the school/s to which they apply of their submitted application and of their priority status eligibility.
  4. If employment is terminated by employee or employer before applicant is offered enrollment at a Great Hearts school, priority status will be revoked.
  5. Once marked as a “faculty” application, these priority applications are ordered by original date of application.
  6. Priority status does not guarantee placement.
BOARD MEMBERS:Children of Great Hearts Board Members and Great Hearts School Board Members
  1. The board member must be the parent or legal guardian of applicant or the applicant must live with the board member for at least 50% of the calendar year.
  2. The board member must be an official, board-approved board member.
  3. The eligible applicant will receive priority status at any school within the Great Hearts network.
  4. The board member is responsible for notifying the school/s to which they apply of their submitted application and of their priority status eligibility.
  5. If the board member’s service on the board ends before the applicant is offered enrollment at a Great Hearts school, priority status will be revoked.
  6. Once marked as a “board” application, these priority applications are ordered by original date of application.
  7. Priority status does not guarantee placement.
OTHER EMPLOYEES: Children of Part-time, benefits-eligible Great Hearts Lead Office and School Employees
  1. The employee must be the parent or legal guardian of applicant or the applicant must live with the employee for at least 50% of the calendar year.
  2. The eligible applicant will receive priority status at any school within the Great Hearts network.
  3. The employee is responsible for notifying the school/s to which they apply of their submitted application and of their priority status eligibility.
  4. If employment is terminated by employee or employer before applicant is offered enrollment at a Great Hearts school, priority status will be revoked.
  5. Once marked as a “faculty” application, these priority applications are ordered by original date of application.
  6. Priority status does not guarantee placement.

Accepting or Declining:

The following timeline outlines the projected dates for offers to be extended to children who submit applications for the 2013-2014 school year:

Mid-January 2013: Lottery held for all applications submitted during the Open Enrollment Period at all of the Great Hearts Academies.

End of January 2013: Offers sent out to accepted students; waitlist numbers available to families not offers positions.

Initial Offer of Enrollment:

Every family will receive an email and/or a phone call from the school to which they applied if and when an offer is extended to their child. Please contact the main office of the specific school if you have any questions concerning the initial offer of enrollment.

Enrollment Packet:

Completion of an online application or acceptance of an offer of enrollment does not constitute official enrollment. Offered applicants will receive an enrollment packet from the school directly to finalize their enrollment at the school. Parents must complete enrollment packet by the school’s packet deadline to be enrolled in the school. Failure to submit that enrollment packet by the school’s deadline will result in non-enrollment of the student.

Here is a list of documentation that you can start gathering in order to have it all ready when you receive your packet.

  1. The child's original birth certificate
  2. Immunization records
  3. Proof of Arizona residency (one item from the list below):
    1. Valid Arizona driver’s license, Arizona identification card
    2. Valid Arizona motor vehicle registration
    3. Valid United States passport
    4. Property deed
    5. Mortgage documents
    6. Property tax bill
    7. Rental agreement or lease (including Section 8 agreement)
    8. Utility bill (water, electric, gas, cable, phone)
    1. Bank or credit card statement
    2. W-2 wage statement
    3. Payroll stub
    4. Certificate of tribal enrollment or other identification issued by a recognized Indian tribe
    5. Other documentation from a state, tribal, or federal agency (Social Security Administration, Veterans’ Administration, Arizona Department of Economic Security, etc.)

Charter Law:

Transfers within GHA's:

Current charter law prevents us from affiliating any of our schools, which in turn disallows us from automatically transferring students from one Great Hearts school to another. For example, we cannot give preference to a child currently enrolled at Archway – Chandler who wants to continue on to Chandler Prep because according to the charter laws that we are governed by, these schools are considered separate. That Archway student would have to submit a new application to the entry level grade at Chandler Prep to be considered for enrollment at Chandler Prep.

Siblings at Different GHA’s:

The sibling priority only applies when the enrolled student currently attends the school to which the applicant is applying, as per our charter’s specifications and laws. For example, having a child attend Archway-Scottsdale does not help a child on the waitlist to Scottsdale Prep because they have independent charters from the state of Arizona.

Admissions Standards:

The Great Hearts Academies do not have any admissions standards, as we are publicly funded charter schools. However, students may be required to do summer school in order to meet graduation requirements and/or to prepare them for the rigors of the intense academics of the school.

Kindergarten Enrollment Policy:

We follow state guidelines which stipulate that a child must turn 5 before September 1st in the year in which they are enrolled for Kindergarten. Also, we do not offer early entrance testing for Kindergarten, and the final decision for early acceptance for Kindergarten would fall to the Headmaster of that academy. Our Archway academies do adhere to the state guidelines regarding the minimum age for Kindergarten, and exceptions are generally not made for early Kindergarten admittance.

Interest Lists:

Arizona:

The best way to receive up-to-date information concerning current and future academies is to sign up for the "Interest Lists" through our web site (http://greatheartsaz.org/). The interest list sign-up can be found on the lower left bar on the main page.

Archway Glendale:

Great Hearts highly recommends joining the Archway Glendale Interest List to be notified of important announcements concerning that location. Archway Glendale’s charter is currently under review by the State charter board. Until this charter is approved, Great Hearts is unable to offer enrollment to Archway Glendale. Members of the Archway Glendale Interest List will be notified as soon as an enrollment event is scheduled for the future Archway Glendale Academy.

School Tours:

School tours must be scheduled through the office of the specific school you wish to see. You can do so through each school’s website, all of which can be found from the main Great Hearts website, www.greatheartsaz.org , and then by selecting the school you are interested in from the “Academies” tab on the top, blue bar. You may also contact the school directly using the list of numbers below to get further information on how they organize the tours.
